Milan is the Italian city with the highest concentration of events over time. This is not an estimate: a look at the annual calendar is enough. The Salone del Mobile in April, EICMA in November, the Salone del Gusto, Made in Steel, dozens of medical and scientific congresses at MiCo, corporate events for multinationals based in Lombardy. All of this creates a steady demand for group transport that taxis and public transport cannot cover on their own.

Anyone who organises events in Milan knows this. Transport logistics are often one of the hardest problems to solve, especially for international guests who arrive at Malpensa without knowing the city.

Fiera Milano Rho: the logistics nobody talks about

Fiera Milano is one of the most demanding venues for organised transport in the whole of Italy. Not because of the distance from central Milan, but because of how logistics work on fair days.

On opening mornings, outbound traffic from the city towards Rho is all concentrated in the same time slot. If your event starts at 09:00, leaving at 08:30 is already a risk. Leaving at 08:00 with an alternative route planned is the right approach.

Inside the Fiera, coach parking is in specific areas with dedicated access, different from the car parks. A driver who does not know these entrances wastes time and creates confusion.

The return at the end of the day is often more chaotic than the outward trip. An exit peak at 18:00-19:00 from Fiera Milano, with thousands of people wanting to get back to the city, requires vehicles already on site, not ones you call at that moment.

For trade fair events we organise the service with scheduled runs throughout the day, not just there and back. This means one vehicle (or more) working continuously, not a single trip.

MiCo and international congresses

MiCo, the congress centre at CityLife, hosts medical, scientific and business congresses on an international scale. Participants come from all over Europe and often from further afield. The main logistical problem is getting them from the airport or the hotel to the congress centre in a coordinated way.

For a congress with 400 participants arriving on different flights over the two days before, the airport transfer service cannot be improvised. It needs coordination with the arrival lists, runs scheduled around flight times, and a contact reachable in real time to manage delays.

Airport transfers for groups: Malpensa and Linate

Malpensa is about 50 km from Milan. With morning traffic the journey can take an hour or more. For events with guests arriving from outside Italy, the organised airport transfer is often the participants’ first impression of how the event is run.

A coach waiting at arrivals with the event name, a driver who helps with the luggage, a direct route to the hotel or venue: this says something about the level of care in the organisation.

Linate, closer to the centre, has different logistics. It suits smaller groups on domestic or European flights.

At both airports we monitor landing times and handle delays. If a flight is an hour late, the vehicle waits. You do not need to call us to keep us updated.

Corporate sites in the hinterland: Sesto, Segrate, Assago, Rho

Milan has a network of large corporate sites spread across the hinterland, and they create a very specific transport demand: guests and delegates who arrive in the city centre and need to reach a site outside the metro network.

Assago, Segrate, Sesto San Giovanni, Rho, Cologno Monzese: each of these hubs has different access conditions. In some cases the metro gets close, in others it does not. In almost every case, a direct coach is more efficient than public transport for a group.

For corporate events at these sites we often run a two-part service: a morning transfer from hotels in the centre to the site, and an evening return to the hotels or to the station for participants catching a train.

Concerts, sports events and shows

San Siro stadium, the Unipol Forum in Assago, the venues for the big summer concerts: these events bring thousands of people into the same space at the same moment. The return journey is a particularly acute problem in these situations, because everyone wants to go to the same place at the same time.

For sponsors with hospitality, and for companies taking clients or employees to a sports or cultural event, a dedicated coach removes the wait in the post-event chaos. A vehicle waiting outside the VIP gate and taking the group straight to the hotel is a detail people remember.

How to build the logistics plan for your event

Every event is different. A congress with 150 European cardiologists has completely different needs from a corporate convention with 80 employees from Lombardy.

To build a logistics plan that works, we need: the event programme with the key times, the estimated number of participants, the main departure points (airport, hotel, station), the event venue, and whether there are side events that need separate transport (dinners, visits, excursions).

From there, we prepare a proposal with the vehicles needed, the scheduled runs, the costs and the operating procedures. Before confirming, we go through the plan with you to make sure it covers everything you need.

FAQ: bus hire for events in Milan

How far ahead should I book for an event during the Salone del Mobile?

The Salone del Mobile is when demand for transport in Milan reaches its highest point of the year. Vehicle availability runs out weeks before. For an event during that week, contact us at least three months in advance. For the following years, the ideal is to book straight after the previous Salone closes.

Do you also handle transfers between different venues during the event?

Yes. For events across several venues, such as a congress held partly at MiCo and partly at a venue for the social dinner, we run shuttles between the venues with timings coordinated with the event programme. This should be included in the initial logistics plan, not added at the last minute.

Can I book an executive vehicle for VIP guests with specific requirements?

For VIP transfers we can use Gran Turismo coaches or, for smaller groups, executive vehicles from our chauffeur service fleet. Tell us in the quote request the type of guests and any requirements (privacy, luggage space, access for people with reduced mobility) and we will suggest the most suitable vehicle.

How do you handle flight delays for transfers from Malpensa?

We track flight status ourselves for airport transfer services. If a flight is delayed, our driver adjusts the waiting time without you having to call us. For groups on different flights with close arrival times, we decide together whether to wait for everyone in a single trip or run separate trips.

Do you also work for events outside Milan, for example in Franciacorta or on Lake Como?

Yes. For corporate events or conventions at venues outside Milan, such as wineries in Franciacorta, villas on Lake Como or resorts on Lake Garda, we run the return transfer from Milan with Gran Turismo coaches. Because we know the routes, we plan timings with realistic margins for traffic on the provincial roads.
