A congress shuttle in Rome links these two worlds every morning and every evening, for three or four days in a row, with timings set by the scientific programme and not by the traffic.

We work with congress agencies, PCOs and event offices, and this page is written for them. From our base in via Ugo Forti we run bus and coach hire in Rome for every kind of service in the city.

The venues of the EUR congress district

The largest venue is the Roma Convention Center La Nuvola, at viale Asia 25. According to EUR SpA, the plenary hall seats up to 4,780, the auditorium 1,748, and there are up to 39 meeting rooms for 12 to 500 people. The hotel La Lama, with 439 rooms, is connected internally, and there are about 1,600 hotel rooms within 2.5 km.

A short walk away is the Palazzo dei Congressi, whose Salone della Cultura holds up to 1,700 people. The same district also has the Palazzo dello Sport, used for events and shows. For us, one thing above all changes: which avenue the coach should stop on. La Nuvola occupies the block between via Cristoforo Colombo, viale Europa, viale Shakespeare and viale Asia, and the choice of drop-off side depends on which entrance the organiser opens to delegates.

How to reach EUR by coach

From the Grande Raccordo Anulare (the GRA, Rome’s ring road) there are three useful exits, as EUR SpA indicates: 26 (via Cristoforo Colombo), 27 (via del Mare and via Ostiense) and 25 (Laurentina). From the centre the natural route is the Colombo, which however gets busy in both directions in the morning. When hotels are around Termini, we choose the route according to the time of day, and it is not always the shortest road.

Delegates can also take metro line B to EUR Fermi, or bus 714 to the Colombo/Agricoltura stop. For an individual participant that works perfectly well. For 400 people all leaving the plenary at 18:00, metro line B becomes a bottleneck, and that is where a dedicated shuttle makes its mark.

Congress shuttle in Rome: how we set up the runs

The core is the morning run from the hotels. If sessions open at 08:30 and registration is at 08:00, the first delegates need to be in the hall by 07:45. With three hotels in the centre, the first vehicle leaves early and runs a short loop: two coaches with two stops each are better than one vehicle making six.

During the day lighter runs are needed. Many congresses have parallel sessions and participants who only come for the afternoon: a minibus or a 36-seat bus on a fixed-time loop covers this without keeping a Gran Turismo coach idle. In the evening the problem is reversed. Everyone leaves together at the end of the plenary, and the vehicles must already be in position, not on their way. For programmes of several days with many service hours, we also plan around how many hours a coach driver can drive in a day.

Arrivals, departures and international guests

Many EUR congresses are international, and arrivals at Fiumicino are concentrated in the days before the opening. For these transfers we work from the flight lists, monitor flight times and, if a flight is delayed, the vehicle waits without you having to tell us. The same applies to all our group transfers from Fiumicino and Ciampino.

Speakers and institutional guests may need an executive car instead of a coach, with our chauffeur-driven car hire in Rome. On request we provide English-speaking drivers, which helps when the vehicle is also the delegate’s first contact with the city.

The social dinner and visits to the centre

The congress evening is hardly ever at EUR. A dinner at a villa on the Appia, on a terrace in the centre or at a restaurant in Trastevere changes the logistics completely: the historic centre has ZTL zones, permits and parking areas for tour coaches, with access rules that need checking in advance. When the coach cannot reach the door, we use minibuses or a transfer point.

The return from the dinner is often late. Our services run at any hour, public holidays included, and late-night returns are part of our normal work. For events with more than 100 people we prepare a logistics plan with pick-up points, timings, coordinated vehicles and an operations contact reachable throughout the congress. The same method applies to conventions and gala dinners, with our bus hire for events in Rome.

How to request a quote for congress shuttles

To put together a proposal we need the programme, even in draft. In particular:

congress dates and the opening and closing times of the sessions;

expected number of delegates and how they are spread across hotels;

arrivals and departures from Fiumicino, Ciampino or Termini;

evening events, with the address of the venue;

any language requirements for the drivers.

The quote is written and detailed, with driver, fuel, passenger insurance and maintenance included. As a guide, hourly coach hire prices in Rome vary with the vehicle, from minibus to Gran Turismo. For congresses with several vehicles we recommend booking 2-3 months in advance.

If your event moves to the trade fair grounds, we also organise transport to reach Fiera di Roma by coach.

In Milan the service is handled by our Lainate base, which runs congress shuttles for Allianz MiCo.

Phone: +39 06 4882027.
