A coach trip gets decided in one meeting and organised over three weeks of messages: who is coming, what time you leave, where the coach stops, who has the list of names. When people ask us how to organise a coach trip, they usually already have the destination and the date; the rest comes together with a few steps taken in the right order. We do this for schools, parishes, companies and associations that travel with our coach hire service in Rome<\/a>.<\/p>\n\n\n\n

The same method applies to groups leaving from Lombardy, served by our base in Lainate and our bus hire with driver in Milan<\/a>. Below you will find the checklist, in the order it is best to follow.<\/p>\n\n\n\n

How to organise a coach trip: dates, numbers and booking<\/h2>\n\n\n\n

Before calling a company, settle three things: the date, ideally with an alternative, the number of participants and the approximate departure and return times. Count everyone, including escorts, teachers, guides and organisers. If registrations are still open, give a range: 40 to 50 people is useful information, “about forty” is not.<\/p>\n\n\n\n

Plan ahead. In a normal period 2-3 weeks is enough, but for services with several vehicles, structured events and spring trips you need 2-3 months. In spring requests pile up, and those who come late have less choice.<\/p>\n\n\n\n

Choosing the vehicle for your group and route<\/h2>\n\n\n\n

The vehicle is chosen on two measures: how many people and which road. Up to 27 people a minibus is enough, up to 36 a midi coach, and above that you move to a Gran Turismo coach with 54-56 seats. The seating capacity of our fleet<\/a> starts from the smallest minibuses, with 8 seats.<\/p>\n\n\n\n

The road matters as much as the numbers. A three-hour journey with elderly people or children calls for reclining seats, individual air conditioning and a luggage hold: these are the features of a Gran Turismo coach<\/a>. A village with narrow lanes or a villa on a hillside, on the other hand, may need a smaller vehicle or a transfer point, which we assess ourselves starting from the address.<\/p>\n\n\n\n

The programme: times, stops and driving hours<\/h2>\n\n\n\n

Write the programme with real times, not ideal ones. If the group needs to be at the museum at 10:00, work out how long it takes to get 50 people on board with rucksacks and bags, and add a margin for traffic on the way out of the city.<\/p>\n\n\n\n

The programme must also respect the driver’s limits. After 4.5 hours of driving there is a compulsory 45-minute break, and with a single driver the working day, from start of duty to finish, generally stays within 13 hours. A trip leaving at 06:00 and returning at midnight therefore needs a second driver, because the law sets how many hours a coach driver can drive<\/a> in a day.<\/p>\n\n\n\n

Access, ZTL and the meeting point<\/h2>\n\n\n\n

A badly chosen meeting point is enough to make the day start late. It should be a place where a coach can stop for ten minutes without blocking traffic, easy for every participant to find and away from junctions and bus stops. A school courtyard or a parish car park works if the vehicle fits: send us the address and we will check it.<\/p>\n\n\n\n

In historic cities the destination has its own rules. In Rome, tour buses must comply with dedicated ZTL zones, permits and parking areas<\/a> (ZTL stands for Zona a Traffico Limitato, a restricted traffic zone).<\/p>\n\n\n\n

Milan has its own rules on Area B, Area C and parking<\/a> for tour coaches. Always ask, at the quote stage, who takes care of the permits.<\/p>\n\n\n\n

Costs: what is included and what to ask<\/h2>\n\n\n\n

A serious quote is written and detailed. Ours includes the driver, fuel, passenger insurance and maintenance. Tolls, the driver’s overnight accommodation on multi-day trips and any extra routes are shown separately, so you know from the start what may change.<\/p>\n\n\n\n

For groups in Lombardy, coach hire costs in Milan<\/a> are worked out on a full-day basis, with different price bands for minibuses, midi coaches and Gran Turismo coaches.<\/p>\n\n\n\n

Schools have one more step: the rules for school trips by coach<\/a> require documents and checks on the vehicle.<\/p>\n\n\n\n

The departure day checklist<\/h2>\n\n\n\n

The week before, and again on the morning itself, check these items:<\/p>\n\n\n\n

  • passenger list with names and mobile numbers, split by vehicle if there is more than one coach;<\/li>\n\n
  • a group contact person with the driver’s number, and the driver with the contact person’s number;<\/li>\n\n
  • meeting time set 15 minutes before departure, not at the departure time;<\/li>\n\n
  • exact address of the meeting point and of every stop, already shared with us;<\/li>\n\n
  • medicines, documents and emergency contacts for minors and elderly people;<\/li>\n\n
  • time and place to get back on board after each visit, told to everyone before getting off.<\/li>\n<\/ul>\n\n\n\n

    Small changes on the day of the service, such as an extra stop or a 15-20 minute difference, are handled directly with the driver. Major changes, such as a new stop or a return moved by hours, need to be agreed with us beforehand.<\/p>\n\n\n\n

    How to request a quote for a coach trip<\/h2>\n\n\n\n

    To prepare an accurate quote we need:<\/p>\n\n\n\n

    • date and departure time (and return time);<\/li>\n\n
    • starting point and destination, with addresses;<\/li>\n\n
    • number of passengers, or the range if it is not final;<\/li>\n\n
    • type of service: day trip, multi-day trip, transfer, event;<\/li>\n\n
    • luggage or materials to load;<\/li>\n\n
    • planned stops and visits.<\/li>\n<\/ul>\n\n\n\n

      How far in advance should you book a coach for a trip?<\/h3>\n
      \n\n

      In a normal period, 2-3 weeks before. For spring trips, services with several vehicles and structured events it is best to book 2-3 months ahead, because demand is high in those months.<\/p>\n\n<\/div>\n<\/div>\n

      Who pays for the driver’s overnight stay on multi-day trips?<\/h3>\n
      \n\n

      It is a cost of the trip, and in our quote it is shown separately, together with tolls and any extra routes. It is always worth asking about it before comparing two offers.<\/p>\n\n<\/div>\n<\/div>\n

      Can the programme change during the trip?<\/h3>\n

      Small changes, such as an extra stop or a quarter of an hour’s delay, are agreed with the driver on the spot. Bigger changes need to be decided beforehand with the company, not least because they must respect the driver’s driving time limits.<\/p>\n\n<\/div>\n<\/div>\n

      Do you need an escort on board as well as the driver?<\/h3>\n
      \n\n

      It depends on the group. For schools, the school decides who the accompanying staff are. An escort provided by the company is not included in the standard service: if you need one, ask and we will assess it case by case.<\/p>\n\n<\/div>\n<\/div>\n

      How many coaches do you need for 100 people?<\/h3>\n
      \n\n

      With our 54-56 seat Gran Turismo coaches you need two, which carry up to 112 people.
